Arctic Adventure Tours AS.
We understand that plans can change. Below you will find our cancellation and refund terms for Arctic Adventure Tours experiences.
Daily tours
We offer flexible changes to existing bookings, subject to availability.
Bookings may be changed free of charge up to 24 hours before departure, up to two times.
Cancellations
- Cancellations made more than 24 hours before departure are eligible for a 100% refund.
- Cancellations made less than 24 hours before departure are non-refundable.
Unfortunately, we are unable to refund or change bookings within 24 hours of departure, including in cases of illness, injury, flight delays or other travel disruptions.
We strongly recommend that all guests purchase suitable travel insurance before travelling.
Cancellation by Arctic Adventure Tours
Safety always comes first.
If weather, road, sea, snow or other conditions are considered unsafe for our guests, staff or animals, Arctic Adventure Tours reserves the right to cancel an activity.
A cancellation may be made at any time, including shortly before departure, if conditions change or are considered unsafe.
If Arctic Adventure Tours cancels your activity, you will receive a full refund. Where possible, we will also offer an alternative date, activity or solution.
Group and bespoke bookings
For groups of 10 guests or more, as well as privately arranged or custom-made bookings, the following cancellation terms apply:
- More than 5 days before the activity: full refund
- Between 5 days and 48 hours before the activity: 50% refund
- Less than 48 hours before the activity: no refund
Different terms may apply where otherwise agreed in writing for a specific group or private booking.
Weeklong Dog Sledding Expedition
A 30% non-refundable deposit is required to confirm a place on our Weeklong Dog Sledding Expedition.
The deposit covers costs and preparations made before departure and is therefore non-refundable if the guest cancels.
The reservation is confirmed once the required deposit has been received.
For cancellation of the Weeklong Dog Sledding Expedition:
- 60 days or more before departure: refund of all payments made beyond the non-refundable deposit
- 30–59 days before departure: 50% refund of payments made beyond the non-refundable deposit
- Less than 30 days before departure: no refund
Missed departures
Please arrive at the stated meeting or pick-up point at least 10 minutes before departure.
Guests are responsible for arriving on time and identifying themselves to our staff.
If you miss the scheduled departure, any costs associated with arranging alternative transportation are your responsibility. Depending on the activity and location, it may not be possible to join the tour after departure.
Missed departures and any resulting additional costs are non-refundable.
Changes to itinerary, location or schedule
Arctic conditions can change quickly.
Arctic Adventure Tours reserves the right to change the route, activity location, departure time or itinerary where necessary because of weather, safety considerations or other conditions beyond our reasonable control.
Where possible, our booking team will contact affected guests before the activity begins.
Changes made for operational or safety reasons do not automatically constitute a cancellation.
Refunds and exchange rates
Refunds are processed using the applicable exchange rate at the time the refund is issued.
If your original payment was made in another currency, the amount received may therefore differ from the original amount due to currency fluctuations.
Arctic Adventure Tours cannot be held responsible for changes in exchange rates.
Travel insurance
We strongly recommend comprehensive travel insurance covering, where relevant:
- illness or injury
- flight cancellations or delays
- missed connections
- weather-related travel disruption
- cancellation of your trip for personal reasons
Our cancellation terms apply regardless of the reason for cancellation by the guest.
Liability and conditions
Participation in Arctic activities involves inherent risks associated with weather, terrain, animals, vehicles, boats and outdoor environments.
Our activities are operated with safety as a priority and may be adjusted or cancelled if conditions require it.
