It is the responsibility of the person making the booking to ensure that all information provided is correct, including names, contact details, dates, number of participants and any other relevant booking information.

The person making a booking on behalf of others is responsible for ensuring that all participants are informed of the relevant Terms & Conditions, cancellation terms and practical information for the activity.

Please check your booking confirmation carefully and contact us as soon as possible if any information is incorrect.

3. Prices

Unless otherwise stated, prices are shown in Norwegian kroner (NOK) and include applicable VAT.

The total amount payable will be shown before the booking is completed.

Arctic Adventure Tours reserves the right to correct obvious pricing errors or technical errors in the booking system. If such an error affects an existing booking, we will contact the guest as soon as reasonably possible.

4. Payment

Payment is made using the payment methods available through the relevant booking channel or checkout.

Available payment methods may vary depending on booking platform, country and product.

Unless otherwise agreed, bookings requiring full payment are confirmed once payment has been successfully processed.

Certain products, including multi-day expeditions, may require a deposit. Deposit terms will be clearly stated at the time of booking.

5. Cancellations and Booking Changes

Cancellation and refund terms vary depending on the type of booking.

Our full cancellation terms, including conditions for daily tours, groups, bespoke bookings and multi-day expeditions, are available in our Cancellation Policy.

Guests are responsible for reviewing the applicable cancellation conditions before booking.

Changes to bookings are subject to availability and the conditions stated in our Cancellation Policy.

6. Changes or Cancellation by Arctic Adventure Tours

Safety is always our priority.

Arctic Adventure Tours reserves the right to change, postpone or cancel an activity where weather, sea conditions, snow conditions, road conditions, wildlife considerations, technical issues or other circumstances make the planned activity unsafe or impractical.

This may include changes to:

  • departure time

  • meeting point

  • route

  • activity location

  • itinerary

  • duration

  • transport arrangements

  • equipment used

Conditions in the Arctic can change quickly, and some decisions may need to be made shortly before departure or while an activity is already in progress.

Where possible, we will contact affected guests in advance.

If Arctic Adventure Tours cancels an activity and no suitable alternative is accepted, the guest will receive a refund in accordance with our Cancellation Policy.

A change made for safety, weather or operational reasons does not automatically constitute a cancellation.

7. Guest Responsibilities

Guests are responsible for reading the product description and practical information before booking and ensuring that the activity is suitable for them.

Where an activity has specific requirements relating to:

  • age

  • height

  • physical ability

  • health

  • clothing

  • swimming ability

  • mobility

  • previous experience

these will be stated on the relevant product page or booking information.

Guests must follow reasonable instructions given by our guides, skippers, mushers, drivers and other staff.

Arctic Adventure Tours reserves the right to refuse or discontinue participation where a guest's behaviour may create a safety risk to themselves, other guests, staff, animals or equipment.

Refunds will not normally be provided where participation is refused or discontinued due to unsafe, disruptive or inappropriate behaviour.

8. Health and Physical Requirements

Many of our experiences take place outdoors in Arctic conditions and may involve cold temperatures, uneven terrain, snow, movement on boats, physical activity or changing weather.

Guests are responsible for assessing whether they are physically able to participate.

If you have a medical condition, injury, reduced mobility, pregnancy or other circumstance that may affect your participation, please contact us before booking if you are uncertain whether the activity is suitable.

Arctic Adventure Tours cannot provide individual medical advice.

9. Arctic Weather and Natural Conditions

Weather and natural conditions are an essential part of operating in Northern Norway.

Snowfall, wind, temperature, sea conditions, visibility, road conditions and other factors may affect an experience.

Guests should arrive prepared for changing Arctic conditions and follow the clothing and equipment guidance provided for their activity.

We cannot guarantee specific weather conditions during an experience.

10. Wildlife and Natural Phenomena

Wildlife and natural phenomena are beyond our control.

Sightings of whales, Northern Lights and other wildlife or natural events can never be guaranteed unless explicitly stated otherwise.

Our team will use local knowledge, experience and current conditions to provide the best possible experience while prioritising safety and responsible interaction with nature.

The absence of wildlife or natural phenomena does not in itself entitle the guest to a refund.

11. Animal Welfare

The wellbeing of our animals is a fundamental part of how we operate.

Activities involving sled dogs may be adjusted where conditions, temperatures, trail conditions, veterinary considerations or the wellbeing of the dogs require it.

Guests participating in dog sledding activities must follow instructions regarding interaction with and handling of the dogs.

Arctic Adventure Tours reserves the right to make decisions necessary to protect animal welfare, even where this requires changes to the planned activity.

12. Meeting Times and Missed Departures

Guests must arrive at the stated meeting or pick-up point at least 10 minutes before departure, unless otherwise specified.

Guests are responsible for:

  • arriving at the correct location

  • arriving on time

  • identifying themselves to our staff

  • allowing sufficient travel time to reach the meeting point

Activities may not be able to wait for late guests.

If a departure is missed, the guest is responsible for any additional transportation or other costs required to attempt to join the activity.

In some cases, joining after departure may not be possible.

Missed departures and associated costs are non-refundable.

13. Transport

Where transport is included, details will be stated in the product description or booking confirmation.

Guests are responsible for being at the correct meeting or pickup point at the stated time.

Arctic Adventure Tours is not responsible for missed departures caused by delayed flights, public transport, taxis, private vehicles or other travel arrangements outside our control.

We strongly recommend allowing sufficient time between your arrival in Northern Norway and the start of your booked activity.

14. Equipment and Clothing

Where clothing, safety equipment or activity-specific equipment is included, this will be stated in the product description.

Guests are expected to use equipment responsibly and follow staff instructions regarding its use.

Guests may be held responsible for loss or damage caused deliberately or through unreasonable misuse.

Personal belongings brought on an activity remain the responsibility of the guest.

15. Group and Bespoke Bookings

Different conditions may apply to:

  • groups of 10 guests or more

  • private tours

  • bespoke arrangements

  • travel trade bookings

  • charter services

  • custom itineraries

Where specific terms have been agreed in writing, those terms will take precedence over these general conditions where there is a conflict.

Unless otherwise agreed, our Group and Bespoke cancellation terms apply as described in our Cancellation Policy.

Free-of-charge participation for tour leaders, translators or other accompanying persons is not included unless specifically agreed in writing.

16. Multi-Day Expeditions

Multi-day expeditions are subject to additional product-specific requirements and cancellation terms.

Guests should carefully review the relevant expedition page before booking, including information regarding:

  • physical demands

  • accommodation

  • transport

  • equipment

  • weather

  • remote locations

  • itinerary flexibility

  • deposits

  • cancellation deadlines

Due to the nature of Arctic expeditions, routes and itineraries may change according to weather, snow conditions, safety considerations and the judgement of the expedition leaders.

17. Refunds and Currency Exchange

Refunds will normally be returned through the original payment method where possible.

Where currency conversion is involved, the amount received by the guest may differ from the original amount paid because of changes in exchange rates or fees charged by banks or payment providers.

Arctic Adventure Tours cannot be held responsible for exchange-rate fluctuations outside our control.

18. Travel Insurance

We strongly recommend that all guests obtain suitable travel insurance before travelling.

Insurance should, where relevant, cover:

  • illness or injury

  • cancellation for personal reasons

  • flight cancellations or delays

  • missed connections

  • lost luggage

  • weather-related travel disruption

  • medical treatment

  • evacuation or repatriation

Our cancellation terms continue to apply regardless of the reason for cancellation by the guest.

19. Liability

Participation in outdoor and Arctic activities involves inherent risks.

These may include risks associated with weather, snow, ice, terrain, wildlife, animals, boats, vehicles, physical activity and remote environments.

Arctic Adventure Tours operates its activities with safety as a priority and takes reasonable measures to reduce foreseeable risks.

Nothing in these Terms & Conditions is intended to exclude or limit liability where such exclusion or limitation is not permitted under applicable Norwegian law.

Guests remain responsible for following instructions and acting with reasonable care during participation.

20. Force Majeure

Arctic Adventure Tours is not responsible for failure or delay in performing its obligations where this results from circumstances beyond our reasonable control.

Such circumstances may include, but are not limited to:

  • extreme weather

  • natural disasters

  • fire

  • war or civil unrest

  • strikes or major labour disputes

  • government restrictions

  • epidemics or pandemics

  • transport disruption

  • closure of roads, ports or airports

  • failure of essential infrastructure

Where a force majeure event affects a booking, we will make reasonable efforts to inform guests and identify available alternatives.

Any refund rights will be determined by applicable law and the circumstances of the booking.

21. Intellectual Property

Content on the Arctic Adventure Tours website, including text, photography, video, graphics, logos and other material, is protected by applicable intellectual property rights.

Content may not be reproduced, distributed or used commercially without prior written permission from Arctic Adventure Tours or the relevant rights holder.

22. Personal Data and Privacy

Arctic Adventure Tours processes personal data in accordance with applicable data protection legislation.

Information about how we collect, use, store and share personal data, as well as your rights under the GDPR, is provided in our Privacy Policy.

23. Cookies

Our website may use cookies and similar technologies for essential functionality, analytics and other purposes described in our Cookie Policy or Privacy Policy.

Where required, visitors will be given the opportunity to manage their cookie preferences.

24. Complaints

If you are dissatisfied with an experience or service, please inform our team as soon as reasonably possible so that we have the opportunity to address the issue.

After the activity, complaints may be sent to:

post@arcticadventuretours.no

Please include your name, booking reference and a description of the issue.

25. Governing Law and Disputes

These Terms & Conditions are governed by Norwegian law.

If a dispute arises, we encourage the parties to first attempt to resolve the matter directly.

Where no solution can be reached, disputes may be brought before the competent Norwegian courts, subject to any mandatory consumer rights or jurisdiction rules that apply.
